Freelance designer invoice template

Bill design work cleanly — itemize logo, identity, print, and digital deliverables, separate revision rounds, and keep file handoff terms next to the total. Free PDF, no signup.

When to use this template

Send after delivering a milestone, a brand handoff, or a fixed-fee phase. Pairing the invoice with file delivery keeps payment terms visible at the moment the client receives the deliverables — which is when invoices get paid fastest.

What to include

  • Itemized scope: logo, identity system, applications (print/digital), source files
  • Revision policy: how many rounds are included, what additional rounds cost
  • Hourly vs. fixed-fee mix when applicable (e.g. fixed brand + hourly for follow-on work)
  • Pass-through costs: stock licenses, fonts, paid plugins
  • File delivery terms — e.g. handing over source files only after final payment clears
  • Late-payment terms (e.g. Net 14, 1.5% / month after that)
  • Currency and payment method (bank transfer, Wise, Stripe link, etc.)

Frequently asked

Do I charge tax on design work?
It depends on your jurisdiction and the client's location. In the US, services are taxed in some states and not others. If you're not registered for sales tax, leave the tax field at 0 and verify your obligation with your accountant. The invoice generator has a tax-rate field if you do need to apply one.
How do I bill for stock photos, fonts, or plugin licenses?
Pass them through as separate line items at cost. Don't bury them in a creative-fee line — clients should see them as reimbursable expenses tied to a receipt you can produce on request.
What about scope creep — extra revisions, new pages, brand extensions?
Add a clear 'additional revisions' line item with your hourly or per-round rate. The signal that any further changes are billable comes more from the line existing on every invoice than from any one conversation.
Should I attach the design files to the invoice email?
Send the invoice PDF separately. Attach final files in a follow-up email after payment clears (for fixed-fee work) or with a preview-quality export at invoice time and full source on payment (for retainer work).
